Peppi student information system

This page provides instructions for using the different sections of Peppi, following the navigation order of the system.

Home page – Students’ Desktop

The Home page – Students’ Desktop, is the view that opens when you log in to Peppi. It brings together enrolment reminders, key information about your right to study, quick links, and support contacts. The quick links take you directly to other sections of Peppi and to external systems.

Personal Study Plan (PSP) in Peppi

Using the PSP section in Peppi, you can plan your studies, monitor your progress and prepare for discussions with your PSP coach. The PSP includes various tabs for planning and scheduling your studies. Instructions for each tab are found below.

At the top of the page you can see your study entitlement details, your group(s), the curriculum you are following, and the current version of the PSP. You will also find a dropdown for selecting the PSP version and buttons for processing the PSP with your coach (Select specialisation, Select version of PSP, Send message from PSP, Send for approval). When your PSP coach approves your PSP, a draft version is always created, which you can edit if you wish.

You can also download your Transcript of Records using the Download Transcript of Records (PDF) button. Please note: the official signed transcript can be downloaded under Student Certificates.

The Inspection tab shows your up-to-date PSP, based on the default curriculum of your study entitlement.

Click the question mark above the PSP structure (see image below) to display the symbols used in the PSP.

Please note: if a course has a failed grade (0), the icon displayed will be the “Enrolment open” icon (flashing purple), provided there is a current implementation of that course with an active enrolment period. This is intended to indicate that you can complete the course through another implementation if needed.

On the Selecting studies tab, you can include or exclude optional and elective studies from your PSP. Your PSP has been generated based on the curriculum and may include all the studies offered in the curriculum, not all of which you will complete. You can view the curriculum by selecting Show curriculum. Studies are selected using the buttons shown in the image below.

On the right-hand side of the course title, you can add or remove a course by selecting either add (green icon) or remove (red icon).

When you exclude a course from your PSP, the credit calculation on the Inspection tab is updated automatically. You can include the course again later.

You can study courses not listed in your curriculum and include them as elective studies.

If studies have been placed under the wrong study module, your PSP coach can move them to the correct location or remove them entirely if needed. Your PSP coach can also permanently remove courses from your PSP.

Click the magnifying glass icon next to the study module name to open the course search window under Add studies.

Search for courses by name or code by entering a search term in the Search for courses field. Click Search. You can narrow down the results by selecting filters from the left-hand column. The search results will first show courses whose names contain the search term, followed by courses whose content contains the search term. When searching course content, the search covers the following fields: objectives, content and additional information.

Add your selected courses to the shopping basket by clicking Add to basket at the end of the row.

You can remove an individual course from the basket by clicking the cross to the left of the course. The entire basket can be emptied by clicking Empty basket.

Transfer your selected courses to your PSP by clicking Transfer selected to PSP.

On the Scheduling tab, you can plan the timing of your studies on a timeline. At the same time, you can ensure that you accumulate the required number of credits during the academic year.

Scheduling your studies

  1. Drag a course to your desired position on the timeline using the drag button: 
  2. Changing the timing of a study: Drag the course to your desired position on the timeline.
  3. Removing a timing: Drag the course from the timeline back to the structure.
  4. Clicking the clock symbol filters the structure to show only courses that have not been scheduled. 
  5. Remove the filter by clicking Show all.
  6. View the timeline at different levels of detail: Select Academic years / Semesters / Periods.
  7. You can also include summer periods on the timeline by clicking the Show summer periods button.
  8. Navigating the timeline: Scroll the mouse wheel in your desired direction or use the horizontal scrollbar.

Please note: If no timing has been set for a course, its first completion will create the timing at the correct point in time. However, if a timing has already been set or generated for a course, it will not be automatically updated to reflect a new or actual completion.

On the Messages tab, you can view messages by message type by selecting Show all / PSP tasks / PSP approvals / Notes / Agreements.

On the Enrollments tab, you can view your enrolments and the course implementations you can enrol on according to your PSP.

  • The “Enrollment open” section shows implementations with an active enrolment period.
  • The “Enrollments: Upcoming and ongoing implementations” section shows implementations you have enrolled on that are either upcoming or currently ongoing.
  • The “Enrollments: Past implementations” section shows past implementations you have enrolled on.

The Enrollments view also includes courses you have already completed. The status of each course is shown using the same symbols as on the Inspection tab. The most recent enrolments appear at the bottom of the group. You can check the implementation period in the Time column. You can also sort courses by clicking a column heading.

If you cannot see an enrolment for a course implementation, please contact the course lecturer, your PSP coach, or Student Services.

The Enrollments view includes a filter option — the “My own” button. Clicking this filters the list to show only implementations that have a student group assigned to them (e.g. the intake group amkYm_s25_JYV) and whose enrolment period is currently active. This feature helps you identify which implementations are specifically intended for your group.

To see more course offerings, click “All” next to the filter. This displays all implementations of the courses included in your PSP.

The Enrollments tab includes a “Groups” column, which indicates which groups the implementation is primarily intended for. In addition, a separate black group symbol is shown in the icon on the left-hand side when the implementation has the student’s own group assigned to it (a tooltip appears when you hover the cursor over the symbol).

Enrol on an implementation by clicking the “Enroll” button. If the implementation has small groups, the small group selection options will appear during enrolment. You can also cancel your enrolment as long as the teacher has not yet approved it. If you have entries recorded for an implementation, you cannot cancel your enrolment.

If you cannot find the implementation you are looking for using the above method, you can use the “+Search for studies” button:

This situation arises, for example, when the curriculum in your PSP is based on an older curriculum — the 2018 curriculum — for which no implementations are currently offered. For these situations, programme-specific equivalence tables have been created to help you identify which implementation of a new curriculum course you should enrol on.

  1. Enter a search term in the text field and press Enter or click the Search button. Course titles may include the specification (Online) in brackets, indicating that the implementation is entirely online. This offering is intended for distance learning groups and Open UAS students.
  2. If multiple seemingly identical implementations are still listed, click them to open a preview, where you can see the implementation details and a more detailed description.
  3. Enrol on the implementation by clicking the “Enrol” button. Please note: when using the Search for studies function, the course will always first be placed under studies outside the PSP, from where your PSP coach or Student Services staff can move it to the correct location in your PSP if needed. If there are other issues with your PSP structure, please contact opintotoimisto@humak.fi.
  4. For some implementations, you may also be asked to select a small group during enrolment. Select the small group according to your campus or any other instructions provided.

You can see the enrolment status from the course status icon (awaiting approval / approved / rejected). The lecturer responsible for the implementation approves or rejects student enrolments.

Credits in Peppi

In addition to the PSP, you can also monitor your study progress through the credits section. You can view and filter your credits using various criteria.

By default, all studies included in your PSP are shown, including partial completions. In the top right corner of the window there is a question mark, which shows the meaning of the symbols displayed to the left of each course.

Using the Filter list options, you can narrow down the courses displayed:

  • By timing: academic year, semester and period.
  • By status: Full PSP, completed, partially completed, failed.

When you filter the courses to be displayed, the text ‘Filter active’ will appear on screen.

Please note that if an entire course has not yet been recorded as completed, the credits recorded as completed for individual parts of implementations may not appear in all of Peppi’s own credit counters. However, these credits are submitted to the authorities via the VIRTA data repository for progress monitoring purposes. You can always see the official number of credits on the downloadable transcript of records.

Calendar in Peppi

In the room reservation calendar, you can view reservations for teaching spaces, course implementations and groups, as well as teaching events in lecturers’ calendars. Please note that lecturers’ calendars are not fully up to date, as the Peppi calendar only shows teaching events and does not include, for example, meeting times.

Students do not have the right to make room reservations.

Humak staff can open meeting times for students, who can then book the most suitable time for themselves. Booking meeting times takes place in the Calendar section Meeting times tab.

Checking available meeting times

You will see a list of Humak staff members who have opened meeting times available for you to book.

Click the name of the person you want to see their available meeting times.

For each meeting time, you can see the date and time, the topic of the meeting, and how many students the time is intended for. For example, Oskari Opettajainen’s first meeting time is a Coaching meeting (with 0 out of 2 places reserved at this stage). The second is an Individual guidance and coaching time, which only one student can attend, indicated by the 0/1 entry. You can book a time by clicking the Book an appointment button on the right-hand side of the row.

Book your preferred time by clicking the Book an appointment button.

For pair or group meetings, you can book a place as long as there is still space available (fewer places have been reserved than the maximum number of participants).

On the page that opens, you can optionally leave a message for the person receiving you (e.g. whether you will attend remotely or on campus, and possibly the topic), then confirm the booking by clicking I will attend the meeting. If you change your mind and no longer wish to book the appointment, select Return to meeting list. Please note that your message will be visible in Humak staff calendars to people other than the one who created the appointment. Do not therefore write anything here that you wish to keep private.

You can now see in the appointments list that the time has been booked and confirmed for you. The appointment will also be added to your own Outlook and Peppi calendars. In this example, the student booked an individual appointment, meaning no one else can book the same time (reserved 1/places 1).

Checking appointment details

You can view the additional details of an appointment (such as the room or other instructions) in the Student Desktop calendar. Please note that you can view the booking details using the Hide / Show button.

Click on the booking box in the calendar to view the booking details. Go to the Calendar in the Student Desktop. If the calendar does not automatically show your own bookings, add your name to the People field at the top of the page. Please note: students always search for themselves in the People field using the Search for people function.

Cancelling an appointment

  1. Go to the Appointments function in the Student Desktop.
  2. Find the meeting in the appointments list whose booking you want to cancel.
  3. Cancel the booking by clicking the Cancel booking button at the end of the row.
  4. On the page that opens, you can optionally leave a message regarding the cancellation for the person who created the meeting time, then confirm the cancellation by clicking Cancel my attendance.
  5. If you change your mind and no longer wish to cancel the appointment, select Return to meeting list.
  6. Always cancel appointments when you are unable to attend. This frees up the time for other students to book.

From the Timetable tab, you can navigate directly to Lukkarikone. Explore the instructions for using Lukkarikone.

On the Settings page, you can specify whether you want the implementation and group reservations entered in the system to be transferred directly to your Outlook calendar.

Studies in Peppi

You can search for course offerings directly in Peppi or on Study Programmes and Curricula at HUMAK website.

From the Studies section, you can access the course offering search. You can search for implementations created for courses using various search criteria through Peppi’s Course Offering Search function. Please note, however, that you cannot enrol on implementations from here. See the “Enrollments” section under the PSP instructions.

In the course offering search, you can browse the available course offerings. On the left-hand side there are facets that allow you to easily narrow down the search results as desired. In addition to basic information, the details of individual course implementations also show information on learning outcomes, requirements, assessment methods and criteria (where this information has been entered).

  • Type:
    • Degree: The search is limited to implementations of degree-leading programmes.
    • Other: For non-degree programmes.
  • Language of instruction: You can filter the search based on the language in which the teaching is delivered.
  • Mode of delivery:
    • If the implementation has been defined so that the virtual credits equal the full scope of the course, the mode of delivery is “Virtual teaching”.
    • If no virtual credits have been defined, the mode of delivery is “Contact teaching”.
    • If virtual credits have been defined but are less than the full scope of the course, the mode of delivery is “Virtual and contact teaching”.
  • Fields of study:
    • Humanities and education: Includes Community Educator and Interpreting programmes.
    • Culture: Includes the Cultural Production programme.
    • General education: Shows implementations added to cross-disciplinary programmes (Open UAS, Education in English).
  • Programme: A more specific search criterion than the above. Can be used to search, for example, within the Community Educator programme for implementations specific to TYKE.
  • Groups: Search for implementations based on which intake groups have been assigned to them.
  • Unit: The search uses the most recent organisational unit structure.
  • Campus: Search for implementations based on the campus organising them.
  • Studies starting:
    • Next autumn: From 1 August this facet will be empty (if no course offerings have yet been published for the coming year).
    • Next spring: From 1 August shows the following spring’s offerings.
    • Next academic year: From 1 August this facet will be empty (if no course offerings have yet been published for the coming year).
    • Summer studies: An implementation appears under summer studies if its start period is between 15 May and 30 June and it ends no later than 1 September.

Registration as present or absent for academic year is done using the Enrollments tab in the Studies section. On the Student Desktop home page, a notification will appear if you have not yet completed your annual registration. You can also access this page by clicking the link in the notification.

  2. Select present or absent.

Please note that this function is only available when the semester registration period is currently active. Semesters scheduled in the future are shown in grey as follows:

You can edit your registration during the registration period using the Edit button on the right-hand side. Please note that in some cases editing is not possible, in which case the button will not be visible (for example, if all absence semesters have already been used, you cannot change your registration from present to absent).

Other sections in Peppi

Agreement Bank, Student Certificates, Course Feedback, eAHOT

The Agreement Bank function is designed for agreements between the student and the university. It is used for, among other things, agreements related to completing studies and RPL agreements.

By clicking the “New message” button, you can send a new message.

Please note that you cannot create a new agreement yourself. However, you can send messages related to an agreement and add attachments. You can also approve an agreement, which will change its status from Awaiting approval to Agreement approved.

Student certificates and transcripts of records are automatically signed using a certificate from the Digital and Population Data Services Agency, meaning you can download official certificates directly from Peppi. The electronic signature provided by the Digital and Population Data Services Agency’s certificate is equivalent to a handwritten signature throughout the European Union.

  1. Log in to Peppi on the Student Desktop.
  2. Go to “eStudent services” and click “Print transcript of records or student certificate” or to “Student certificates” section
  1. Click “New order”, select the document you wish to order, and choose the language of the document.
  2. Then go to the “Documents” tab, where you can print or save the documents you want to your computer.

The authenticity of electronically signed documents can be verified at our website.

On the Course Feedback section, you can see a summary of the courses for which your enrolment has been approved and is active, and which have an active feedback survey. On each row you can see the name and code of the course, as well as the name and type of the feedback form (e.g. Final feedback or Mid-course feedback).

If no surveys are shown for a course on the home page, it means that you have no active surveys to respond to, and no completed surveys with a summary report or response to feedback available to read.
